i-media aims to ensure your personal data is protected in accordance with General Data Protection Regulation (GDPR) 2018. i-media will never knowingly handle personal data gained from you in a way that contravenes the GDPR 2018.

This Policy will explain what personal data i-media will collect from you and how that will be used.

i-media is a private limited company incorporated in England and is required to comply with the GDPR 2018. i-media is referred to as ‘we’ and ‘our’ throughout this policy.

i-media collect and store your information from four main sources:

1. Via our online channels actively, if you contact us from our website using a contact form, email address, competition entry page, Drive Panel sign-up or if this leads you to contact us via telephone; if you contact us via our   Media channels (Twitter, Facebook and Linkedin) either via direct message or using our contact details (data collected includes profile name, and other details available on your handle). For website inquiries this data includes First Name, Last Name, Company Name, Job Title, Phone Number, Email address, and the inquiry. you contact us from our website using a contact form, email address, competition entry page, Drive Panel sign-up or if this leads you to contact us via telephone. If you contact us via our Social Media channels (Twitter, Facebook and Linkedin) either via direct message or using our contact details.
2. Via our website passively, through automated web analytics data which collects data such as gender, age, and approximate cache location.
3. Through the company you work for, if that company already does business with us or we are introduced to your company via an Out of Home Specialist or Advertising Agency; we obtain and retain company contact information through our CRM system, Salesforce.
4. From our affiliated companies and from other specialist outside sources which provide customer or driver information, such as businesses which supply motor vehicles or motor vehicle services, advertising agencies, and public sources, such as the DVLA.  This data includes names, addresses, email addresses, and phone numbers, which may be grouped by cohort, e.g. age range (but without recording the exact age of particular individuals) and vehicle registrations associated with the name of the keeper.

The legal bases we rely on when using your personal data are:

1. Legitimate interests where we have assessed that the use of your personal data is necessary for us or a third party to conduct our or their business, but not where those interests are overridden by your interests or rights.
2. Performance of a contract where we are contracting with an individual.
3. Consent, where you have told us you agree to our using your information for a specific purpose which we have explained to you

i-media collects data in order to understand what you need and provide you with a better service, and in particular for the following reasons:

1. Reply to you in the event that you have contacted i-media. Common examples include an advertising enquiry or a competition entry. At no point does i-media collect this personal data via these channels without your submission of that data.
2. If you visit our website, whether or not you contact us, the data about your visit is automatically collected. This includes the pages of our site that you visit, whether you arrived directly or via Search Engine, and the information that your browser transmits to us (such as browser type and version). We use this anonymised data to assess the performance of our website.
3. If you work for a company we would identify as a potential customer, we may source your name, role and work contact details and use this information to contact you via telephone or email directly, to establish contact.
4. If you do business with us, we collect data in order to carry out our contractual obligations regarding that business. This can be in person, over email, telephone or by fax. The data beyond that used in the initial introduction will only be provided by you; for example what you are buying and how you are paying.

i-media also collects and uses personal data in order to promote or advertise our or our customers' services and products and to measure the effectiveness of the advertising campaigns that we or customers run. Our advertising campaigns for our customers feature displays on public screens and not users' personal devices. We may combine your personal data with data from other sources or our advertising models for these purposes.

We do not use your personal data to make any solely automated decisions about you which could have a legal or similarly significant effect on you.

We review our retention periods for personal information on a regular basis. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.

CRM System: Contact and sales contract data is stored to maintain a database of your contact details so that we can identify you during repeat business contact. Salesforce is a reputable and GDPR compliant CRM system and the only tool to log contact and contract data i-media use.

Web Analytics: Anonymised data is preserved and aggregated to help us understand and improve our website’s performance. None of this automatically collected information can be used to identify you.

Secure Payment Information:  Payment is received via BACS which happens directly and no personal data is transferred in the process. When i-media make a payment we retain the bank details provided on the invoice. For accounting purposes all records are kept for 7 years.

We may use your contact details to send you information about our services, publications, and other updates which we believe may be of interest to you.

Where we have an existing or previous business relationship with you or your organisation, we may send marketing communications where we consider it to be within our legitimate interests to do so and where such communications would reasonably be expected in the context of that relationship. Where required by applicable data protection or electronic marketing laws, we will obtain your prior consent before sending marketing communications.

You may opt out of receiving marketing communications at any time by using the unsubscribe link included in our emails or by contacting us directly. If your email address becomes invalid or undeliverable, it will be automatically removed from our marketing distribution list.

We retain marketing contact details only for as long as we consider there to be an ongoing business relationship or reasonable expectation of contact, or until you withdraw your consent or object to receiving marketing communications.

1. The right to access– You have the right to request copies of your personal data from i-media.
2. The right to rectification– You have the right to request that i-media correct any information you believe is inaccurate. You also have the right to request i-media to complete the information you believe is incomplete.

4. The right to restrict processing– You have the right to request that i-media restrict the processing of your personal data, under certain conditions.
5. The right to object to processing– You have the right to object to i-media’s processing of your personal data, under certain conditions.
6. The right to data portability– You have the right to request that i-media transfer your data which we have collected to another organisation, or directly to you, under certain GDPR-compliant conditions.

We will never act as a broker to sell any personal data that we hold on you to a third party.

We may be required to provide data about you to credit reference agencies to establish payment or resolve any payment issues. The data which credit reference agencies hold on you is available from those agencies upon request.

If we are compelled by law (e.g. for police investigations or following a Court Order) we will disclose the data we hold about you in accordance with the law or the Court Order.

Third-Party Processors

‍We engage carefully selected partners and service providers who may process personal data on our behalf. Where this occurs, such processing is carried out in accordance with applicable data protection legislation and under appropriate contractual safeguards.

From time to time, we appoint consultants and agents to manage our Salesforce and Pardot activity. This may involve the compliant processing of personal data on our behalf.
